PAIA manual
Access to records under section 51 of the Promotion of Access to Information Act 2 of 2000, and related POPIA information.
Lees die Afrikaanse handleiding. This manual can be read, saved or printed without charge. The operator and Information Officer's details are below.
1. Body, purpose and contact
Andrew Harwood, Dillon Harwood and Thea Sinclair, trading as adbop supplies adbop account, advertising-display, venue-management and browser-control software. Address for records requests and inspection arrangements: 44 Riviera Road, Uvongo/Margate, South Africa. The head/contact for access requests is Andrew Harwood, Information Officer, [email protected]. Email to arrange inspection during normal business hours or to request an accessible copy. No fax channel is used for requests.
2. Guidance and automatically available records
The Information Regulator's PAIA page provides the section 10 guide, translations, prescribed forms and current procedures/fees. Our terms, privacy, retention, music-rights notices and this manual are publicly available without a formal request. Account holders can view their own available records through their authorised workspace. This does not make other customers' records public.
3. Subjects and categories of records
- Account registration, contact details, roles, verification, invitations, package and device allowances.
- Venue/client/team relationships, advert media, uploaded music, designs, playlists, schedules, publication history and settings.
- Device credentials/status, download and storage diagnostics, and temporary encrypted remote-session buffers.
- Security/access/audit records, email delivery, complaints, support correspondence and authorised support visits.
- Agreements, statutory administration, cash-billing quotes, invoices, receipts and payment records and, when online payments begin, subscription and payment references.
Records may be held electronically, in correspondence or in restricted hosting backups. Availability is subject to actual existence, retention periods and lawful grounds for refusal. Relevant legislation includes PAIA, POPIA, the Electronic Communications and Transactions Act 25 of 2002, the Consumer Protection Act 68 of 2008 and applicable copyright and tax legislation. This list is not a promise that every kind of statutory record exists or is automatically public.
4. How to request a record
Use prescribed PAIA Form 2 (Request for Access to Record) from the Regulator and send it to the Information Officer by email or deliver it to the service address. Identify the requester and any represented person, give sufficient detail to locate the record, state the form/language of access and contact details, and explain the right you seek to exercise/protect and why the record is required for that right. Include proof of representative authority where applicable. Tell us about accessibility needs. We may verify identity; never provide your password.
Requests for your own personal information may also be made under POPIA section 23. Confirmation of whether we hold your personal information is free. Access/copy fees, deposits and exemptions apply only as the law permits; we explain any applicable prescribed fee before proceeding. A request for someone else's records is not granted simply because it was requested.
5. Decision, refusal and complaints
We notify you of the decision within 30 days after a proper request, or a lawful extension of up to a further 30 days with reasons. PAIA grounds can protect another person's privacy, confidential commercial information, privilege or safety; we consider severing protected parts where lawful. A refusal explains the reasons and complaint/court options. There is no internal PAIA appeal for this private body. You may complain to the Information Regulator using its prescribed process, generally within 180 days of the relevant decision, or approach a competent court as permitted by PAIA. A failure to respond can amount to a deemed refusal. The applicable statutory procedure governs.
6. POPIA processing overview
Data subjects include account holders, venue contacts, team members, invitees and people contacting support. The categories above are processed to supply the contracted service, secure accounts, give support and meet legal duties. Recipients include authorised account/venue users, administrators, billing staff for cash-billed accounts, hosting/email providers, Google when chosen, future payment providers and lawful authorities. Third-party providers can process information abroad; adbop transfers require an applicable POPIA section 72 basis. The Privacy notice explains lawful grounds, required/optional information, sources and rights.
Security includes server-side role checks, HTTPS, password hashing, protected secrets, expiring links, revocable device credentials and end-to-end encryption of remote payloads. Encrypted relay buffers are temporarily persisted and backups may retain ciphertext; they are not an archive of plaintext browser sessions. See Data retention. You may request access/correction/deletion or object where POPIA permits by contacting the Information Officer. We review this manual when our contacts or processing change.
